What Rhode Island Requires on Your Stamp

Every Rhode Island notary must use an inked stamp on paper-based notarial certificates. This is not optional — a notarization performed without a compliant stamp impression is defective and can be challenged.

The official stamp specifications under state rules are:

• Shape: Round (circular) or rectangular
• Border: Must have a continuous border surrounding all text
• Ink: Dark ink — black or dark blue is standard
• Required text: Your name exactly as it appears on your commission, the words "Notary Public," and "Rhode Island"
• Optional text: Your commission ID number and/or commission expiration date

The name on your stamp must be an exact match to your commission certificate. If your commission reads "Jennifer A. Smith," your stamp cannot say "Jenny Smith" or "J.A. Smith." Order your stamp only after you receive your commission certificate so you can verify the exact name the state used.

Stamp vs. Seal vs. Embosser

Rhode Island law uses the term "official stamp" to refer to the inked impression you place on documents. Some vendors sell metal embossers (crimping tools that create a raised impression), but these are not a substitute for the inked stamp unless the embosser meets all the standard specifications and is treated with a pre-inked seal highlighter to ensure visibility when a document is photocopied or scanned.

The practical recommendation: buy a standard self-inking rubber stamp that meets the state's specifications. Use an embosser as a secondary security measure if you want one, but the inked stamp is what satisfies the statutory requirement.

When to Order

Do not order your stamp before your commission is approved. The commission certificate from the Governor establishes your official name and commission details. Ordering early risks paying for a stamp with incorrect information if there is any discrepancy between what you wrote on your application and what the state approved.

Once you receive your certificate, you can order from any commercial notary supply vendor. Turnaround from most vendors is three to seven business days. If you need to perform notarizations immediately after commissioning, factor in this lead time.

What to Look for in a Vendor

Rhode Island does not certify or endorse specific stamp vendors. Any commercial supplier that produces a stamp meeting the state's specifications will work. When comparing options:

• Confirm the vendor can produce the correct layout (round or rectangular with a continuous border, all required text)
• Verify the ink color will be dark (some budget stamps use lighter inks that do not scan well)
• Check whether the vendor bundles unnecessary products — some include surety bonds in their packages, which Rhode Island does not require

A basic compliant self-inking stamp typically costs between $15 and $40 depending on the vendor and style. You do not need a premium package for a legally valid stamp.

Stamp Custody and Security

Your stamp is your personal property. Even if your employer paid for it, the commission — and the stamp — belong to you. If you change jobs, you take the stamp with you. Your employer cannot retain it, restrict your access to it, or demand it be destroyed.

Never let another person use your stamp. Allowing a coworker or supervisor to stamp a document on your behalf is a direct violation of state law, constitutes a security breach, and exposes you to commission revocation and civil lawsuits.

When your commission expires or you stop performing notarial acts, follow current Department of State guidance for securing or disposing of your stamp so it cannot be misused.

Digital Seals for Electronic and RON Notarization

If you register for electronic or remote online notarization, you will need a tamper-evident digital stamp (electronic seal) in addition to your physical stamp. This digital seal is embedded in electronic documents through your approved technology platform and must contain the same identifying information as your physical stamp.

The state charges no fee to register as an electronic or remote online notary. You submit the Notary Public Information Update Form with samples of your electronic signature and seal to the Department of State.
