The Renewal Window

You can start your renewal 90 days before your commission expires. The process happens entirely online through NY Business Express — the same portal you used for your initial application. Since September 1, 2023, County Clerks no longer process notary renewals; the DOS handles everything directly.

The renewal fee is $60, the same as the initial application. You'll also need a newly completed and notarized Oath of Office (DOS-2201), scanned as a single-page PDF, just like the original application. Find another commissioned notary to administer the oath, sign it in ink, and scan the result.

The Six-Month Grace Period

If your commission expires before you submit a renewal, you have a six-month window to renew without retaking the written exam. During this grace period, you cannot perform any notarial acts — your commission is lapsed, and notarizing during a lapse is illegal, even if you've submitted a renewal application.

The six-month clock starts on your expiration date. If you renew within that window, the DOS processes your renewal without requiring a new exam. If more than six months pass, your commission is treated as fully lapsed. At that point, you're considered a new applicant: back to the walk-in exam, a $15 testing fee, and the full application process from scratch.

Don't Wait for a Reminder

The DOS sends postcard renewal reminders, but these are subject to administrative delays. Some notaries report never receiving one. Track your own expiration date — it's printed on your commission ID card.

A reliable approach: set a calendar reminder for 90 days before expiration. This gives you the maximum window to complete the renewal without any gap in your commission.

Step-by-Step Renewal Process

1. Log into NY Business Express using your NY.gov ID
2. Select the renewal application from your account dashboard
3. Update your information — address, name, or contact details if anything has changed
4. Upload a new Oath of Office — a fresh DOS-2201, signed in ink before an active notary, scanned as a single-page PDF
5. Pay the $60 renewal fee by credit or debit card
6. Wait for processing — do not perform acts during any lapse until the renewed commission appears as active in the DOS database

Your new commission term starts from the date of issuance, not from the date your previous commission expired. There's no "stacking" of unused time from your old term.

Updating Your Supplies

When your renewal commission arrives, update your stamp if you use one. Any identifying information on a stamp should match your current commission; a physical ink stamp is not mandated.

If you use a stamp, order it after you receive your renewed commission details, so the expiration date, UID number, and all other fields are accurate.

Your journal carries over. You don't need a new journal for a renewed commission, but continue making the required entries and retain them for 10 years.

Name and Address Changes at Renewal

If your name or address changed during your previous term and you haven't already reported it, the renewal is a good time to update everything. Changes must be reported to the DOS within five days under 19 NYCRR 182.3(a)(8), but renewal applications include fields to update this information.

The fee for address or name changes is $10, except for name changes resulting from marriage, which are free. Note that the DOS does not issue a new ID card for mid-term name changes — you must sign using your originally commissioned name for the remainder of your current term. At renewal, your new commission can reflect the updated name.
