Why Experience Documentation Trips Up So Many Applicants

Every Missouri plumber who applies for a journeyman or master trade card hits the same wall: proving their hours. You did the work, you logged the time, but the local board wants it on paper in a format they accept. Since Missouri has no statewide plumbing license, each city and county board sets its own documentation rules — and getting it wrong can delay your application by weeks or months.

The core documents you need fall into three categories: experience affidavits (sworn statements of your hours), employer verification letters (direct confirmation from the shops you worked for), and reference letters (professional endorsements from licensed plumbers who supervised you).

Experience Affidavits: What They Are and Who Needs Them

An experience affidavit is a notarized statement that details the type of plumbing work you performed, the duration of your employment, and the supervising license holder. Whether an affidavit can serve as primary proof of field hours depends on the local board's accepted formats.

St. Louis County requires apprentices to document five years of apprenticeship, plus 500 classroom hours. The county's Board of Plumbing Examiners maintains its own application forms through the Accela portal; follow the county's instructions for required signatures and supporting documents. Kansas City, by contrast, allows candidates to sit for the journeyman exam after just two years of verified experience under a licensed master.

If your former employer went out of business or won't cooperate, ask the local board whether an affidavit from a co-worker or supervisor can satisfy its proof requirements, and follow the board's notarization instructions.

Employer Verification Letters

Boards may require direct employer verification in addition to third-party affidavits. A verification letter should include your employer's name and license number, the dates you worked, the total hours or years of employment, and the type of work performed (residential, commercial, new construction, service).

Springfield's Building Development Services requires candidates to submit experience verification packets that include both employer letters and trade school certificates. Jefferson City asks for documentation proving 8,000 hours (four years) of apprentice experience or 12,000 total hours for the master exam.

Keep copies of every W-2, pay stub, and tax form from your plumbing employment. Some boards may ask for tax records as supplementary proof when employer letters are incomplete; confirm what your board accepts.

Reference Letters: Kansas City and Beyond

Kansas City requires master plumber candidates to submit two reference letters from licensed plumbers who can vouch for their skills and character. These aren't generic "to whom it may concern" notes — they should come from plumbers who've directly observed your work, ideally on permitted jobs within the jurisdiction.

Other cities have application-specific documentation requirements even if they don't call them "reference letters" on the application. Check Columbia's current Business License Division instructions for any required references. St. Louis City's Board of Examiners of Plumbers and Drainlayers may request references during the qualification review.

When asking for a reference letter, give the writer your license application number, the specific board you're applying to, and a summary of the projects you worked on together. The more specific the letter, the stronger your application.

Common Mistakes That Delay Applications

The most frequent documentation failures include listing hours that don't match W-2 employment dates, submitting affidavits that aren't notarized when notarization is required, using references that don't meet the local board's requirements, and missing classroom hour records for St. Louis County's 500-hour requirement.

Start assembling your documentation at least 60 days before you plan to submit your application. Track down former employers early — the hardest part of this process is getting responses from shops that have changed ownership or closed.
